CRM - Membership subscriptions 09/10

Now that CRM can handle mailmerge properly - ie using data from multiple related entities i took the opportunity to improve the membership administration process. in addtion. the create entity on workflow allowed me to generate the new year's transactions.
Meeting with Denise and Frances to review and get a snag list.
Membership renewals for 09/10
Summary of activities
- A transaction for each member or subscriber for 09/10 has been created with status set to not paid
- I have created the core set of merge documents including invoices, cover letters, renewal forms etc. but they will need to be reviewed and any snags fixed.
- I have created four new views to make it easy to do the different merges and provide a quick way to show who has paid and who hasn’t as the year progresses.
- Yr0910 Members Not Paid
- Yr0910 Members Paid
- Yr0910 Subscribers Not Paid
- Yr0910 Subscribers Paid
Preparing the renewal documents
- Merging of cover letters, renewal form and invoices will be done direct from CRM using the mailmerge feature.
- To send the Members renewals
- Select Yr0910 Members Not Paid view
- Click the mailmerge button
- Select whichever document is required eg Member Cover letter, Renewal form or Invoice.
- Choose to merge all in the current view
- Open and do the merge
- The process is the same for subscribers but using the Yr0910
- Completing the merge will record an activity against each subscription with the merged letters stored as attachements.
Receipts and reminders
- Merging of receipts and other reminders will be the same process. Use the Not paid views and merge the letter.
Reporting
- Checking who has paid or not paid is simply a matter of selecting the appropriate view and using the count at the bottom of the form.
- Other reports can be developed as required.
